Onboarding a new hire is a tough process considering the multitude of applications and resources people need access to for their job role. It's very easy to forget a step, grant too much or too little access, or worse.


To prevent a security breach and an unprofessional experience for your new employee, you should employ some form of automation. How does onboarding automation work in your CRM?


To build a great digital employee onboarding process in Super Easy CRM, you'll need to build Task Templates. These templates will be the blueprint for the perfect employee onboarding experience. Each template will consist of the following attributes.


  • A triggering ticket status - This is the event you want the application to listen out for. It's a status of your choosing that can be selected from the ticket creation screen.

  • The task assignees - This is where you'll designate the individuals or department that will be responsible for completing the task.

If you need some help coming up with the onboarding tasks, I built this simple yet effective tool to help you get things organized. To get started, simply enter the resources, applications, and training new hires will need when they come aboard.


Next, hit the 'Generate Task List' button and a task list will populate right before your eyes.




    To make things even more efficient, you can take the tasks generated by your onboarding ticket and put them into a workflow. Within Super Easy CRM, a workflow is treated like a mini project. Similar to projects, they contain a group of related tasks, assignees, and deadlines. But, they don't have a project charter, formal scoping, budget, and other formalities traditional projects have.


    Workflow tips and tricks


    Follow these tips and tricks to make the most of Super Easy's task management and workflow automation.


    • Build Milestones for onboarding tasks - Milestones are important in your CRM as they not only help guide your tasks through their life cycle but also assist users in taking action to ensure tasks are completed in a timely fashion.
    • Utilize queues - In tech, we often use queues to divide the workflow up and ensure the people with the appropriate skill sets get assigned the right tasks. This works for non-technical industries as well.
    • Track completion times - Each task you create comes with a metric to track how long it took to complete it. Keep in mind, this metric relies on users to consistently mark tasks as completed when they finish them.
    • Use CRM calendars to schedule training sessions - You can use the calendar within Super Easy CRM to track meetings and schedule trainings with new hires. Keeping tasks, projects, and meeting in one place can a great way to track the team's workload.
