Searching for the best tech stack to run your CRM or web-based business? Here's what I personally use every day to stay productive across multiple devices and verticals.


Running any business is tough, particularly when there are a slew of items on your backlog, support tickets, and a belly of meetings littered throughout your calendar. The best way to combat this is with the right gear. Your productivity setup can mean the difference between a successful day and a complete failure.


Here’s my personal productivity build, the exact hardware and software I use to run my SaaS CRM (Super Easy CRM), a fantasy game site, and multiple niche websites. And it all starts with the most important tool of all: my mouse.


My Sword: The Logitech MX Master 3s


This is hands down the best productivity mouse on the market IF you work with multiple operating systems or use Mac OS exclusively. For those who are exclusively using Windows there are much better options like the Roccat Kone XP. The reason for this boils down to the software, not the mouse itself.


Most mice that allow for extensive customization are of the gaming variety and gaming companies (most of them at least) don’t make software compatible with Mac OS. The reason for this is that most people who game on their computers do so on Windows machines. Though Macs are more than capable of running AAA games, especially the ones using the new M series chips, game developers simply don’t make a ton of games with them in mind.


So that means for Mac fans, productivity mouse options are going to be limited to Logitech, Corsair, and Keychron. Here’s how I use the Mx Master to save time and keystrokes. The mouse is smart enough to allow you to customize it by application so I’ve grouped them accordingly below:


Universal Button/Gesture Layout


  • Back Button → Copy

  • Forward Button → Paste

  • Gestures + Left → Previous Page or Previous Sheet

  • Gestures + Right → Undo or Next Sheet

  • Gestures + Up → Save (works great in VS Code and Docs)

  • Gestures + Down → Undo

  • Scroll Click → Snipping Tool or Select All (depending on app)

  • Mode Shift Button (SmartWheel toggle) → Open ChatGPT in browser

  • Gesture Button Click → Mission Control (MacOS multitasking view)


These mappings let me quickly clip content, navigate code, and hop between CRM dashboards, spreadsheets, and browser tabs with minimal friction. I can copy leads from Excel, paste them into Super Easy CRM, undo a formula, trigger a snippet, and then jump into ChatGPT for summarization, all without touching my keyboard.


Application Highlights


In Chrome or Safari


This setup is perfect for research and lead generation. I can copy and paste from landing pages, swipe between pages or Google results using gestures, and instantly launch ChatGPT to summarize dense articles or create outreach templates. Mission Control makes it easy to drag what I need into the right workspace without breaking focus. Which is important given how easy it is to get distracted when doing boring or repetitive tasks. Entertainment and streaming options are literally around every digital corner so not allowing your mind to stray is vital to success.


In Super Easy CRM


While I’m reviewing support tickets or updating contact records, having Copy, Paste, and Select All just a thumb-click away makes data entry smoother. I use Gesture + Up to “save” notes mentally by submitting form fields or confirming changes. If I need to draft a response or figure out a logic issue, Mode Shift launches ChatGPT in a side window so I can write or troubleshoot without leaving the page.


In Visual Studio Code


I fly through my scripts using Scroll Click to select entire files, Side Button 1 to copy snippets, and Side Button 2 to paste directly into a new CRM integration. Gestures save and undo quickly, and launching ChatGPT helps me troubleshoot syntax or pseudocode ideas while in the zone.


In Microsoft Excel


Perfect for data cleaning and task batching. I jump between sheets using left/right gestures and remove formulas from lead exports using Paste Special mapped to Scroll Click. Copy/paste speeds up my cleanup flow, and launching ChatGPT lets me generate field-matching rules or regex (my kryptonite) for validation.


In Google Docs


Whether I’m writing blog drafts or product documentation, this layout works like a dream. I copy/paste, undo formatting hiccups, and open ChatGPT for headline rewrites or meta descriptions. Mission Control helps me bounce between content ideas, Notion docs, and CRM references.


In Notion


I use Notion for light project planning and SOPs. Scroll Click selects whole blocks, and gestures let me undo or flip between linked pages. It pairs well with ChatGPT when I’m building out checklists or outlining blog ideas straight from my CRM task queue.


In Postman


When I’m testing APIs for Super Easy CRM, having instant access to Copy/Paste and Select All keeps me moving. Scroll Click grabs whole payloads, and launching ChatGPT helps when I’m debugging responses or need help interpreting a complex schema.


In Google Sheets


Especially useful for batch editing user data or financial tracking. I scroll, select, clean, and ChatGPT my way through formatting formulas, writing custom functions, and checking for errors across columns. It’s like having a virtual assistant in my side panel.


Mouse Customizations That Save Me Hours


The real power of the Logitech MX Master 3s isn’t just how it feels in the hand, it’s how customizable it is. I’ve mapped the side buttons and gestures to enhance how I work inside Super Easy CRM and reduce wrist pain caused by the comical amount of repetitive motions I do every minute of every day.


If I’m in a client meeting and I need to log a note or pull up their last support ticket, I can do it with minimal movement and zero friction. It keeps me in flow, which is the entire point of using tools like these.


This setup alone has probably saved me 30 to 45 minutes a day. That might not sound like a lot, but that’s time not spent clicking through menus or forgetting why I opened a new tab. If you run a lean business or manage multiple tools at once, this kind of muscle memory makes a big difference.

My Shield: Google Calendar


This might sound basic, but Google Calendar is my defensive line against chaos. Every ticket follow-up, content deadline, and CRM update gets a calendar slot. I time-block ruthlessly. This ensures I don’t fall behind on feature requests or editorial timelines, even when new support tickets flood in overnight.


I’ve customized color coding for each vertical I run, blue for CRM tasks, red for content deadlines, green for meetings. Time blocking allows me to protect my most focused hours for deep work. For anyone working solo or running lean, this is non-negotiable.



My Compass: Super Easy CRM


This one’s mine, so I built it to work exactly how I operate. I use it daily to handle customer inquiries, track feature suggestions, and manage tasks across all my projects. The ticketing system replaces the need for Jira, and the email validator helps keep contact data clean.


Here’s how I use it: I’ve created task templates for new blog posts, API updates, and data cleanups. Each task links to a contact, auto-assigns based on category, and triggers email updates to collaborators if needed. It’s fast, predictable, and built for people who hate clicking through 10 screens to get one thing done.


Instead of toggling between Jira and Slack, I can keep everything in one system that reflects how I think. It also means fewer monthly subscriptions, which adds up fast when you're bootstrapping.



My Voice: AirPods Pro 2 + Sony WH-1000XM5


I alternate between the AirPods Pro 2 and Sony’s XM5 over-the-ear headphones depending on what I’m doing. AirPods are perfect for Zoom calls, async voice memos, or dictating quick reminders into Super Easy CRM.


The Sony XM5s are and their newer counterparts the XM6s are renowned for their noise-canceling prowess. I, unfortunately, can never enjoy this as the amount of inner ear pressure the mics place on me makes me dizzy after only a few moments of use. But the transparency mode is bearable and the versatility more than makes up for Sony trying to kill me with their noise cancelation mics.


I bounce between Windows devices and Macs frequently so my AirPods just don’t cut it in the Bluetooth department. With the XM5s, I have the option of use a 3.5mm jack or registering up to 8 devices within Sony’s app.



My Sidekick: iPad Air M1


This tablet is more than just a Netflix screen, it’s a mission support device. I use it to monitor CRM uptime, review analytics dashboards, and even tweak landing pages using keyboard + mouse support. ESR makes the perfect Apple Magic Keyboard alternative. Its less than half the price and doesn’t skimp on quality.


I always have it mounted next to my laptop, it acts like a second screen for reference material when using my Macbook or note-taking since my handwriting has become horrendous in my 30s having not been required to write on paper for years. It’s also especially handy during calls or workouts, I'll often scroll through meeting agendas or quick CRM task lists while hitting my stationary cycle. The device came out in 2022 but for my use case, it’ll likely last me another 5 years.



My Utility Belt: Tomtoc Shoulder Bag + Anker 10,000mAh Power Bank


Your gear is only as useful as it is portable. The Tomtoc shoulder bag fits everything I need: laptop, iPad, mouse, charger, notebook, and even a mobile router when I travel. The Anker 10K power bank ensures I never run dry during long client sessions, conference days, or airport delays. If you rely on mobile CRM access or offline content editing, portable power is a must.



My Anchor: iPhone 15 Pro Max


I can’t stomach the design of the 17 series, so this phone will be my daily driver for the foreseeable future. I use it for everything from CRM ticket alerts to two-factor codes, Discord replies, and mobile content edits. Super Easy CRM’s mobile-friendly interface means I can resolve issues without needing a laptop.


It’s also where I trigger Postman requests using iOS shortcuts and monitor site uptime with app alerts. With this phone in my pocket, I’m never out of sync.



My Toolkit: Software I Rely On Daily


  • Postman: My go-to for testing API connectivity. Every time I add a new webhook or need to verify CRM field responses, this is where I start. It’s like a doctor’s stethoscope, non-negotiable if you're building anything with an API.

  • ChatGPT + LM Studio + Bard: These three workhorses power my writing, cleanup tasks, and ideation. I’ll generate blog outlines, rewrite sections of CRM copy, or summarize meeting notes. LM Studio lets me test local LLMs while Bard helps with Google Workspace automation.

  • Raycast: A recent addition to my workflow. It helps me launch apps, run shortcuts, and even check calendar invites without reaching for the mouse.

  • Visual Studio Code: As much as I want to use Pycharm, it's not as full featured or versatile as Visual Studio. I create all my projects using it and the plethora of extensions and shortcuts make it a developer’s best friend.



My Command Center: M3 Max 14” MacBook Pro


This machine is the backbone of my business. It’s where all CRM data gets processed, where all content gets written, and where all tools live. Whether I’m debugging backend logic, scheduling emails, or running three terminal windows for different test environments, it never slows down.
